New Move-In Procedures and Buyer Access Policy
Over the past several months, ASD has carefully reviewed event operations and collaborated closely with our partners to make decisions that best support the long-term success of ASD Market Week and the broader industry. These updates are designed to strengthen the overall exhibitor and buyer experience, ensuring the show continues to set the standard for professionals and value in the marketplace.
To support this goal, ASD is implementing updated move-in procedures and a revised buyer access policy for the upcoming show. These changes are intended to ensure a fair, professional, and efficient setup experience for all exhibitors.
Please review the details carefully as compliance will be required before you receive your staff badges.

Buyer Access Policy During Move-In
To maintain fairness and uphold ASD Market Week’s professional standards, buyers are not permitted on the show floor during move-in under any circumstances. ASD will enforce this policy through the following measures:
- Strict Access Control: Only registered exhibitors and approved staff are allowed on the show floor during move-in.
- Permanent Wristbands will be issued during setup to prevent badge sharing or unauthorized floor access.
- No Bulk Badge Pick Up: Each individual must pick up their own badge with a government-issued photo ID, no exceptions.
- EACs (exhibitor-appointed contractors) will be required to register each worker on a separate EAC portal. Please do not register any EACs with exhibitor staff badges.
- Flagged Prior Offenders: ASD has identified individuals who previously gained unauthorized access to the show floor during setup by using exhibitor staff credentials. Any attempt to register these individuals as staff will result in the cancellation of that staff badge. Exhibitors who have previously engaged in this activity will be closely monitored. We have detailed registration data from our vendor, and their names have been flagged in our system to facilitate monitoring and enforcement of compliance. We’re asking all exhibitors to follow the rules—violations compromise the integrity of the event.
- Badge Allotment Controls: To reduce the opportunity for misuse, ASD is reviewing staff badge allotments for all exhibitors. Adjustments may be made to ensure only legitimate booth personnel receive credentials.
- Dedicated Security Oversight: A separate security team will patrol the floor on Saturday and Sunday. Any buyer found on the floor will be escorted out. If a buyer is observed conducting business in a booth, that exhibitor will receive a violation slip (see next bullet point).
- Violations Have Consequences: Any buyer found on the show floor during move-in will be immediately escorted out, and the exhibitor responsible will face a penalty. That exhibitor’s Space Draw appointment will be moved back 25 time slots — meaning 24 other companies will select their booth locations before you, regardless of loyalty points. In other words, other exhibitors will have the chance to choose your current booth location or the one you want before you do.
- Acknowledgment Form: All exhibitors must sign an Early Access Acknowledgment Form before staff badges will be released for pick up.
Why These Changes Matter
We know change isn’t always easy — but these updates are designed to protect your investment, strengthen ASD’s value, and create a fairer marketplace for everyone.
1. The Las Vegas Convention Center Is Busier Than Ever: With renovations now complete, the LVCC is hosting more events than ever, which means tighter move-in windows and less setup flexibility. This targeted move-in schedule ensures ASD can operate efficiently and safely while adapting to these new building demands.
2. Restoring the Power of ASD: Allowing buyers on the show floor early has slowly eroded the power of ASD Market Week — and with it, your ROI. By stopping early buyer access, we protect the integrity of the marketplace and make sure every buyer meets exhibitors when the show officially opens, not before.
3. Equal Opportunity for Every Exhibitor: Every exhibitor deserves a fair and equal opportunity to meet buyers. These changes help level the playing field so all companies — large or small — have the same chance to connect, sell, and succeed. This fairness builds trust, professionalism, and long-term value for the entire ASD community.
Next Steps
Please review and complete the following actions to ensure a smooth and successful ASD Market Week:
- ✔️ Review Your Move-In Date: Make note of your assigned move-in date and times and share it with your team and any EACs.
- ✔️ Verify Your Staff List: Ensure that only legitimate booth staff are registered under your company name. Misuse of badges will not be permitted.
- ✔️ Complete the Early Access Acknowledgment Form: Please fill out the early access acknowledgment form now. This form must be completed before arriving on-site to pick up your badges or access the show floor.
- ✔️ Let’s Work Together to Set Buyer Expectations (This is the most important step!)
We all share the same goal: a professional, productive, and fair ASD Market Week. To make that happen, we need your help getting the word out to your buyers before they arrive in Las Vegas.
Buyers who arrive before the official show opening will not be allowed on the show floor during move-in. To prevent frustration or confusion:
- ASD has created email templates for you to send to your buyers letting them know about the mid-week date change and when they can come to shop your booth. Click Here for Email Templates.
- Encourage buyers to plan their travel accordingly and arrive when the show officially opens. Please don’t put your brand, your buyers, or show management in an uncomfortable situation.
This small step will protect your buyer relationships, reduce onsite issues, and help ensure a positive, professional experience for everyone.
Together, we can uphold the high standards that make ASD Market Week the industry’s most valuable marketplace. Thank you for your cooperation and partnership!
